Top Use Cases for BetterCloud & Microsoft 365

Since launching our integration with Microsoft 365 (previously Office 365) two years ago, we have added functionality spanning all the SaaSOps use cases. In the last few months in particular, we’ve been hard at work expanding on these capabilities to better serve organizations using Microsoft as their primary cloud productivity suite.

Below are five of the top use cases our Microsoft customers have been taking advantage of.

1. Offboarding

With over 50 actions for Microsoft 365, BetterCloud gives teams the tools to take the necessary steps to offboard users. These actions include basic offboarding actions, like resetting the user’s password, deleting the user, and removing the user’s license. However, offboarding goes beyond terminating access. BetterCloud also helps strengthen the security of your organization by deleting all devices from the user, deleting all calendar events, revoking sign-in sessions, and much more.

This functionality also extends to OneDrive and SharePoint, enabling IT teams to automate actions like copying a user’s OneDrive files and folders to a manager, or removing all direct access to files and folders shared with a user.

2. Save on unused licenses

Organizations waste billions of dollars a year on unused licenses. Yes, billions with a B. Many organizations are unaware of how much money they are wasting until they start manually reviewing the last time a user was active on a given platform.

BetterCloud tracks unused licenses based on login data for G Suite, Salesforce, and Microsoft 365, and automatically reclaims licenses. Through BetterCloud’s Last User Login alert, admins can define how long a user should be inactive (e.g., 30, 60, or 90 days) before triggering an alert or automated workflow to remove or reassign the license and recoup costs.

3. View all your OneDrive and SharePoint files in one place

Connecting BetterCloud to Microsoft 365 gives admins a centralized view of all the files stored in OneDrive and SharePoint. Instead of having to navigate from admin console to admin console to understand how users are interacting with data, admins can view it all in BetterCloud.

Admins have the ability to take actions right from the Files Grid without having to navigate to a separate admin console. They can also get alerted if there are any sensitive data permissions that do not fit their organization’s security posture.

4. Scan files for sensitive information

Users are constantly creating new data, editing it, and sharing it with people inside and outside of the organization. IT has the impossible task of knowing where all of the most sensitive data is stored and securing it.

That’s why BetterCloud has 90+ pre-built data identifiers to find the most common sensitive data in your OneDrive and SharePoint instance, such as personally identifiable information (PII), words and phrases that violate HIPAA compliance, profanity, and financial information. Teams can also create alerts to notify stakeholders when a file with sensitive information is shared externally, publicly, or across the domain.

5. Secure exposed sensitive information

BetterCloud makes it quick and easy to remediate any issues identified through a sensitive data audit or alert. Admins can unshare the file, revoke public sharing links, change the owner of the files, and more.

BetterCloud’s Workflows take it a step further by automating multi-step remediation paths, such as unsharing the file, transferring ownership to security, sending a Slack message to the manager, and suspending the user’s account.

IT can also give employees the power to control their files by creating a workflow with a Wait for Approval action. If a user shares a file publicly, BetterCloud can send a notification to the file owner with a request to approve or deny the removal of a public share and external collaborators. If the user approves, BetterCloud will automatically take the actions to secure the file.
