How to set up BetterCloud: A comprehensive implementation overview

Then we’ll review your goals, objectives, and what success looks like for you. This typically aligns with the specific use cases you need from BetterCloud. We do this to cater your implementation to what you truly need.

Once your core use cases are live, you’ll be introduced to your dedicated Customer Success Manager. This begins a long-term partnership focused on maximizing the value of your investment, keeping you updated on new features, and helping you discover new opportunities for automation and savings.

User Automation implementation

For User Automation, our goal is to get your first automated workflow up and running as quickly as possible. We’ll guide you through a phased approach:

  1. Discovery phase: We start by understanding your environment and identifying the most impactful workflows to automate. We’ll discuss your current processes for onboarding, offboarding and mid-lifecycle changes.
  2. Set up your first integration: We’ll walk you through connecting your first application to BetterCloud, ensuring a secure and successful integration. We also support a wide range of additional integrations, including custom ones, to cover your entire SaaS stack.
  3. Set up your first workflow: With your first integration in place, we’ll help you build your first automated workflow. This hands-on experience will show you the power of BetterCloud’s workflow engine and unlock its potential for even the most complex use cases. You’ll see firsthand how to incorporate human-in-the-loop approvals with features like ‘Wait for Response,’ and how to automate sensitive, high-stakes tasks such as applying legal holds, all within the same intuitive interface.
  4. Use-case specific workflow build-out: Once you’re comfortable with the basics, we’ll help you build out more complex workflows tailored to your specific use cases, such as role-based permissions, self-service, and license management.

Spend Optimization implementation

To get a handle on your SaaS spending, we need to know what you’re using. The Spend Optimization implementation focuses on discovering and analyzing your entire SaaS stack.

We’ll guide you through the following key steps:

  1. Gauge employee sentiment: Understand how your employees truly feel about their tools. We’ll review the sentiment survey functionality, determine opportunities for feedback, and help you create a survey to gather valuable insights directly from your users.
  2. License utilization: We will review usage data to determine license reclamation opportunities. From there, we’ll guide you in setting up an automated license reclamation workflow to ensure you’re only paying for what you use.
  3. Spend monitoring: Get a granular view of your SaaS spending. We’ll start with a thorough review and validation of your transaction data. Next, we’ll help you create transaction mapping rules and identify areas of overspending to cut down on waste.
  4. Contracts and compliance: Centralize your contracts and ensure you’re getting the best deal. We’ll help you upload your contracts, review the compliance hub, and analyze the agreements dashboard. This allows us to determine contract benchmark opportunities, so you can negotiate better terms and pricing.

File Governance implementation

Our File Governance implementation is designed to give you visibility and control over your sensitive data in Google Drive. Here’s how it works:

  1. Connect your domain: You can connect your Google Workspace domain during a guided session with our team, where we can also provide a walkthrough, or you can do it on your own time using our straightforward instructions. Simply install the BetterCloud File Governance app from the Google Workspace Marketplace.
  2. Data ingestion and review: Once connected, we’ll ingest your file data. You’ll have time to review the initial findings before our next meeting.
  3. Workshop sessions: We’ll conduct one to two workshops to review your files directly, answer your questions, and help you build policies to secure your data. We’ll cover topics like public files, files shared with personal email addresses, and files containing sensitive information.
