It only takes a few steps to print your Google Calendar. Whether you’re on the go, or you cell phone battery is low, it’s nice to have a hard copy of your calendar on hand. All you have to do is:

  1. Go to the More dropdown in the top right.
  2. Click Print.
  3. You’ll have two options – print or save as .pdf.
  4. You’ll have multiple formatting options, including the orientation of the calendar (portrait or landscape).
  5. You can show or not show events that you have declined.
  6. You can choose black and white if you are printing in black and white, for better contrast.
  7. Hit print or save as .pdf and you’re done!

Google calendar printing is very, very limiting. We purchased VueMinder Calendar software. It makes beautiful calendars and links nicely to your Google Calendar.

It is impossible to print either a week or a month on a single sheet – it cuts off one day. You need to improve this aspect of Google calendar because I like using it but would like to be able to print.

      • Dana D Reply

HI Joanne, I had this problem too, and today I was able to print the full calendar by choosing “Landscape” instead of “Portrait” in my print options.

    • Dick in Sarasota Reply

I just want to print the month, for example 11/1/12 – 11/30/12 and not the extra days of October and December to fill out the week. Those spaces could be blank.

      • Dana D Reply

        Hi DIck,
You can fix this by clicking on the “print range” option. Then where it shows the dates, click on the first date. It should bring up a calendar. Just click on 6/1/16 (for example). Then click on the second date and choose 6/30/16 to print only June and not the end of May or the beginning of July.

    Hi Joanne,

One thing you could try is simply right-clicking on the calendar itself and selecting “Print” from that menu. That should put everything that’s visible on your screen into one page, the only reason I don’t recommend it is because sometimes it throws off spacing a bit.

But, let me know if that works for you!

I’ve heard good things about VueMinder as well (which Terry mentioned above), so that’s something to consider if your users don’t need to access their calendars through their browsers.

I am trying to print my calendar in black and white. I am able to do this on a PC, but when I try on my mac, the option to select black and white is not visible. Am I not able to print in black and white for better contrast on a Mac?

    • Queen Ducky Reply

I found that black and white is not an option in Chrome, but it is an option in Firefox.

I would love to print in black & white for better contrast, but that box to check is not available. Has Google changed their print page options?

    • Google Gooru Post authorReply

Hey Kevin – I am still seeing this B&W option when I go to print in Chrome. What browser are you using?

      • Sean Reply

Checking in Google’s own browser isn’t a bad idea, of course, but how about checking in at least one other popular browser!!! Please don’t add to the impression that Google is turning into a new Microsoft, ignoring the world beyond its own products.

When I print the calendar it limits what prints for each event. It only prints a litte bit of the event name. Even if I change it to Compact on the settings, it still cuts off part of the event name.

I’m fairly new to Google Calendar and just tried to print it for the first time… unfortunately, i’m seeing only a handful of my events in the print preview (or the PDF… i’ve not bothered actually printing ’cause I don’t want to waste paper “just in case” the actual printed document looks different than the preview). It seems fairly random what’s included/not included. It prints some, but not all, of the appointments in the selected “calendars”. I am not blocking cookies (but I added to the “allow” exceptions just in case). I tried using both Google (21.0.1180.89) and IE (9). Getting equal amounts of success (or lack thereof). I really want to make Google Calendar work for me (I’m migrating here after a decade of using a Palm Pilot 😛 )… but being able to print out my appointments (week or month view) is important to me.

    Any tips/suggestions would be welcomed!

When I try to print one month from calendar it only prints with the information showing on print preview:
    Print range
    Font size
    Show events
    Black and white.

How do I delete the bottom part and just have the calendar print?

  9. Sim Reply

I don’t like that when printing schedules of several calendars at once, it lists which calendar under each event.

    Very annoying.

Hi! I don’t know how to print a month’s calendar that includes the entire title with location without setting the font to the smallest.

Is this a known issue or is there a workaround or solution? Thanks for the help!

We just switched from Outlook to Google this month. I print my calendars to carry with me for meetings or when I am out of the offifce. Outlook calendars when printed look very professional and colorful. Frankly, google calendars look very blah when printed. Any chance there will be any upgrade in this arena?

    Any ideas?

Hi, I have been able to print my Google maps in the past, but today in Chrome it is asking me if I really want to DOWNLOAD the calendar because it is not considered a safe file, that it can damage my computer. What do I do now? Thanks, L

    • Google Gooru Post authorReply

I wouldn’t worry too much about that warning message when it pertains to your Google Calendar. I would be wary about downloading files from less secure sites, however.

Hi, I am hoping you can help. I have my events color-coded for each child’s schedule and cannot get my monthly google calendar to print in color. Also, it cuts off some of the text instead of wrapping around.

Do I need to buy a program to accomplish these tasks?

I don’t believe there is a native option to print a Google Calendar from your iPad. It looks like your only option is to download an app from the App Store.

I browsed a few of the apps, and it looks like this might be your best bet – CalPrint for iPad.

      Hope that helps!

I want to print weekly calendars. Starting time for the printed page is 4am or 5am which only prints to 2pm or 3 pm. Not very useful. Is there a way to set the starting time to print on calendars to say 7 am?

    • Google Gooru Post authorReply

Try out this lab which allows you to hide morning and night hours. This allows you to print your standard working hours.

      • Greg Reply

Thanks but I already tried this. I may be doing something wrong, but it does improve the screen display which is nice, but does not change the printing.

Printing calendar in month view has one serious problem – event description is shrinked to about 15 characters and more over only to full words. For example event with desc. “16:00 Dinner with Mike” will be printend “16:00 Dinner”

    • Stacy Reply

That is my problem as well. I have one event per day that I want to print in full but it only prints out the first several characters. Frustrating to the point of looking for a better way.

      • Katie Reply

Please reply to this strand – I am having the same problem. Is there a way to get the whole event title to show when printing a monthly calendar?

        • Google Gooru Post authorReply

          Hey Katie,

It looks like that functionality isn’t available when printing the monthly view for Calendars. Here’s a support thread where users have been requesting the feature since 2009.

You could try using the Agenda view and setting the date range to one month. That won’t give you the traditional month-view, but it might help.

  18. Molly Reply

Is there a way to print Google calender monthly view with only specific colored events coming through? (For instance, I always put my work schedule in red, would like to print this off, but not show all other events that are scheduled?)

    • Google Gooru Post authorReply

      Hey Molly,

Before you take the steps to print your calendar, take a look at the left side of your calendar screen. You should see two tabs labeled My Calendars and Other Calendars.

Click on the colored boxes to the left of those calendars to de-select all of them except for your red work schedule. They should disappear from your calendar view, except for the red events.

Then you can follow the steps to print as outlined in the video.

      Hope that helps!

I’m planning use Google Calendar to manage room allocation at our church. For unrelated reasons I need one calendar per room. I can easily select these using Google Calendar and view them merged in week or month view. However I want a weekly print and much prefer agenda view for this. In that case GC neatly lists the rooms involved at the top of the page and, in the timed daily listings, includes “What” and “Where” which I want but it also repeats the name of the calendar and a line for ‘Created by’ which gives an email address. Both of these waste space and make the print more difficult to read.
Is there any way to avoid this please?

    • Google Gooru Post authorReply

I don’t believe there is a way to remove the name of the calendar (or who it belongs to) from the print screen.

However, when you’re printing the agenda, you should see an option to ‘Print attendees’ which is pre-selected by default. If you uncheck that box, it will remove the names of the attendees from the print screen.

Hopefully that will save you some valuable space!

I just realized that all I needed to do was to use iCal on my mac – sync my google calendar (under Calendar > refresh) and voila- I have a nice one-week print out that doesn’t cut off all my appointments after 4 p.m. 🙂 As a former die hard PC girl (I still have both, always prob. will) , I am loving my mac.

    I’m really getting frustrated!
I cannot get ANY of my events to display on my printed Google calendar.
I’ve tried changing calendar AND event settings to “Public”, but to no avail.

Why won’t my events show up on my calendar print???

    • Google Gooru Post authorReply

One of the main causes for a calendar not showing events in the print screen is the calendar is not selected in the Calendar list to the left-hand side of your calendar.

The box next to your Calendar’s name should be highlighted when selected. If that’s not the case with you, please let me know.

I followed your instructions, selecting black and white, but the text comes out so faint it is almost impossible to read. Printed with my HP All in One. (plenty of ink left in the cartridge.) And I look at my Google calendar in the Chrome browser.

I want to use Google Calendar to list scheduled tasks for a co-worker. The days can range from as early as 8 am and as late as midnight. When I print the calendar in weekly view, it truncates the listings after 7 pm, leaving out location and other information. Is there a way to adjust the setting so the “late” events are printed just as the standard events are printed. I already used the “hide morning and night” lab, with no improvement.

Is there a way to print or copy the agenda option on google calendar into a MS Office doc such as Word? I’d like to get it to be able to have the Agenda list for the month and be able to edit a version to take with me that has other details for myself that is not necessarily on the calendar. I use a Mac and run OSX 10.6.8

How do you get a long event title, start and stop time, where, and description to print within the month calendar? I shrink the size and it still won’t get a long title to fit. I use a mac and Firefox.

Printing problems with Calendar. On Ipad, no selection for b&w shows on the bottom of the print preview screen, on laptop, after the print command, only a portion of the print screen shows, no print button. I have found it will print if I click enter. No problem with selecting b&w as that line shows on the screen on my laptop. Should I use the Ical app on my Ipad?

It would be great if you can save settings for print. Each time someone has to click on “portrait” because for some reason it defaults to landscape for example which is not usable for most people. But also, it would be great to have tasks and/or month view on your daily agenda printout as Outlook does. Those are very handy and efficient for business.
