BetterCloud enables you to run an audit on your domain’s Google Drive files to view documents with specific sharing permissions. Ensure that all Drive files are shared correctly and take necessary actions such as transferring ownership of files if a Drive file is now owned by the proper user.

  • Enter the domains, groups, org units, or users whose Drive files you would like to audit
  • Select “Shared With” in the Condition section
  • Enter the email of the user with whom the documents you would like to see are shared
  • Enter the email of the user to whom you would like to email the results
  • Name the audit
  • Click “Save and Run”

Can I alert the document owner’s manager about a sharing violation?

Yes. Navigate to Drive > Drive Sharing Policies > Create a policy. In step 2, under Additional Settings > Notifications, check “Email other people about these sharing violations” and enter the email of the user you wish to receive alerts to sharing violations.

Where can end users view document sharing violations?

If a user has violated a document sharing policy, an alert will appear on their BetterCloud homepage (if the end user view is enabled) and the user will receive an email notifying them of the sharing violation alert.

Can users request exceptions to sharing violations?

Yes. Users can request exceptions to document sharing violations through BetterCloud. To do so, users should click into the sharing alert that appears on their BetterCloud homepage, then select the document(s) that are deliberately shared, and “Request Exception.” Users will be notified if the exception has been granted or denied.
